Importing a Report
Importing a new report consists of taking the new report file (.rpx) you have created or by exporting a report file (.imr), and setting it up for use from within the iMaint application.
Note: In order for this process to work correctly you must ensure that the Application Servers Identity is using a Windows User that has rights to both the client computer you are importing from, and the Reporting Server.

Right click on any report on the Report Selection window. When the pop up menu displays select the option to Import a New Report.

The Microsoft ’Open’ window will appear, defaulting to the Reports folder. Navigate to either the .imr file or the .rpx file. Select your report and click the Open button.

The Import window will display. If you are importing a .imr file, all the report parts will default. You will need to select the correct Sites and make any other adjustments for running the report inside this database.

If you are importing a new .rpx report you just created, you will need to give the report an ID, Record Limit, Description, name the Master View used, select the sites to run the report within and the categories to which it will belong.

Report File Name |
Once you select your new report to Open, your report name will default in this field. If you wish to change the file name of this report the field is open for change. |

ID |
CM for custom will automatically default. You may choose to give the report another ID, however it must be different and unique. |

Record Limit |
Set the record limit for your report. This will be the number of records the report will be able to display. The value of 500 defaults in to the field but you may increase or decrease the number of records. |

Description |
Key in a short description of your new report. |

Master View |
The view you used to create your report will default in this field. The prefix CM stands for custom and replaces the IM for iMaint automatically. |

Importing and Exporting An Existing Report
If you wish to take a report within iMaint and turn it into a PDF or Excel file, you must first run the report and display it in Preview mode. Users can export reports they have generated with data, in the form of .PDF, .RTF, .TIFF and .XLS files, using ActiveReports.
It is important to note, the import and export functions, located on the Report ribbons, do not import and export just the data. That functionality is done with the iMaint Integrators. These functions import and export actual iMaint report .RPX or .IMR files, not data. These functions are designed to save the report design and layouts ( a .RPX file contains both the report views and design layouts) to another location on the network for use with iMaint.
If you are looking to:
a) import data into the iMaint database from different formats, such as Excel spreadsheets or text files. OR
b) export data from the iMaint database in different formats, such as Excel spreadsheets or text files
Consider using the add-on module called iMaint Integrators.
Exporting a Report
First, you must have the report you wish to export displayed in the Preview pane. Once you preview the report, use the option to Export from the File menu on the toolbar. Select to export the report data into PDF, RTF, XLS or TIFF.
After you select a format, the Microsoft Windows ’Save As’ screen displays for you to name and save the file to your computer. Close the Preview window when you wish to return to the Report Selection window.
Now, if you need to take the entire report file (.imr) and move it to another database or site, highlight a report from the Report Listing grid and select the Export option under the File menu off the toolbar. This will prompt you to save the .imr file into the desired location.
Importing a Report
If you have multiple sites and create your own custom reports, use this tool to import the reports into different site databases. Custom reports create a .rpx file and are usually kept in a folder under the iMaint installation location, called Reports. If you have exported an iMaint report as a .imr file, you may use the import option to use the report at another site.
Find the Import option under the File menu off the toolbar.
This option will open a Windows navigation pane for you to search and select your custom .rpx file.
Email a Report
Please note, to email a report you must have your own email client installed and working correctly. iMaint Reports can be sent using your own email client. iMaint reports are not sent through SMTP.
The Cloud Client and DPSI hosted online solution will publish all reports in .PDF format. Users will be able to save the report in PDF format and then also email it from the browser. It will email as an attachment and can be read using the Adobe reader.
