Group Management
User Groups contain one or more users who share similar security and permission defaults. Individual users can be added or removed from a user group using the Group Management tab. Each user must belong to at least one group, but can be a member of several groups.
DPSI has created predefined groups that you may copy and use as a guideline, when creating and editing the permissions for your own groups.
The following pre-defined user groups are included with iMaint:

New/Duplicate
New Group: Add a New Group to the current Site by entering a unique Group ID and clicking on Save.
Duplicate Group: Highlight a Group ID from the iMaint Group list, enter a unique Group ID in the field and click on Duplicate.
Adding a New Group
The Group Management tab enables you to Add New and Duplicate groups. Adding a new group to the system is even easier than adding the users. These groups are what you will assign your permissions to. You may create groups based on departments or the tasks certain groups perform.

To initiate the create group process, make sure you are on the New\Duplicate sub tab of the Group Management Tab.

In the Group ID field enter the name of the group that you wish to create. This must be a unique Group ID, limited to 30 characters and can contain no spaces.

Click Save below the Group ID field to add it to the iMaint Groups list. The group should appear in the iMaint Group’s field to the left.

The next step is to make the users, previously created, members of their respective group. To start this highlight your new Group ID in the window to the left. When you highlight a Group ID the tabs called Membership, Site Copy and Permissions Copy become available.

Move to the Memberships tab to add User ID's to your new Group ID. Highlight the specific User ID's under the Non-Members list and use the < button to move them into the Members pane. To remove a member from the group, simply highlight the User ID in the Member pane and use the > button to move them to the Non-Member pane. Repeat these steps for each user you need to add or remove from a group.

The Site Copy tab gives you the ability to transfer your new group into your other sites.

Permissions Transfer sub tab will allow you to give a Group within another site the same permissions you have set up for a specific group in the site you are currently logged into.
Copying a Group
You cannot edit any of the default groups that were installed with you iMaint application. If you wish to use the permission set of one of the pre-defined groups, you can copy the group that will also copy the permission set.
This will only copy the permissions and not the User ID's that are members of the Group. You may also copy any of your custom groups created. To copy a group, follow the steps below.

To copy a group, highlight the Group ID you wish to copy in the iMaint Groups list. On the New/Duplicate tab, enter the new Group ID under Group to Duplicate.

Click on the Duplicate button in the Duplicate Group section. The new Group ID will appear in the iMaint Groups list.

You will now need to move to the Membership tab to add User ID's to the new Group.

Move to the Permissions tab to edit the permissions set if necessary.
Membership
Members List: A current list of members belonging to the user group specified in the iMaint Groups list. Users can be removed from the Members list by selecting the user and pressing the '>>' button. The user is removed from the highlighted user group.
Non-Members List: A list of all existing iMaint users who are currently not a member of the user group specified in the Groups list. To add a user to a user group, select the user name in the non-members list and press the '<<' button. The user is added to the highlighted user group.
Site Copy
Use the Site Copy sub tab to copy a Group, including the permission set, to other sites. All available sites, to which you will copy groups, will be listed in the box. You may select one or multiple sites to copy groups into. If you check the box Copy All Site Security, all of the iMaint Groups will be copied into the selected sites.
For example, site A contains a Group ID called "PlanningTeam" with permissions all set up for the users employed in the Planning department. A new site B is set up and needs a Group for their planning department. You may perform a Site Copy to move the Group ID PlanningTeam and all its permissions over to site B. Then simply, add the users in site B as members.
If the group already exists within the target site, the user will be prompted to make sure they wish to overwrite the existing group. You may only copy groups from the site to which you are currently logged on. To copy from another site, log out and back into the appropriate site.
Permissions Copy
The Permissions Copy tab will allow you to copy a permissions set from one group to one or more groups within another site. For example, the Purchasing department in site "A" has a Group ID called "Purchasing_Team" with a permission set that gives them access to create purchase orders and receive items into inventory. This Group ID permission set is exactly what is needed for the purchasing department within site "B". Site B already has a Purchasing Group ID called "Purchasing1". Use the Permissions Copy tab to copy the permission set of "Purchasing_Team" from site "A", to "Purchasing1" in site "B".
First, highlight the iMaint Group that possess the permission set that you wish to copy. Using the drop down menu called Copy To Sites, select the site or sites to which you wish to copy permissions.
Then select the Group ID or ID's by highlighting all that apply in the Copy Permissions To Roles box. Finally, click on the Copy button. The system will then copy the permission set of the Group ID to the new site and group you selected.
Once you have your users assigned to a group, you will need to define the permission for each group.
