Work Order Manual Completion

Once you have finished the necessary work, pull up the specific work order in iMaint.  Using the Complete button on the ribbon, or changing the status on the work order to one that represents Complete, will cause the work order Completion window to display. This window gives the user the chance to reconcile any inventory, labor or misc. cost that was estimated for use on the work order. You must review the information before you can complete the work order.

It is important to note, if the work order is read only or the work order status indicates read only, completion will not be allowed. If you are having trouble trying to complete your work order, check the Status ID and then make sure it is not defined as a read-only status. This window displays summary information about the work order across all asset/procedure line items so you can see how much information was previously entered for the work order.  Use the Details buttons in each section to review the information in full.  

 

You may also enter the Meter value of the Asset at the time the work order is completed.  This will update the Assets current meter value. If you have more than one Asset on a work order, or multiple Asset Procedure (WOAP) lines on the work order, the label will change to display Primary WOAP Meter. This will indicate multiple Assets are listed on the work order and the meter value you enter here will only be applied against the line marked as the Primary Asset Procedure combination.  You may manually go into the Meter sub tab on each WOAP combination and update the meter value before you complete the work order, if necessary.

 

Before you close the window, Save the information entered by clicking the Complete button.  If you select the Close button, the changes will be cancelled and the window will close. The Work Order will not be completed, until you click on the Complete button.

Resources Section

Estimated Hours

Details (Button)

If pressed, the window disappears and is replaced with the Asset/Procedure tab, Resources lower tab, with the first Asset/Procedure in the grid highlighted. This allows the user to enter details for resources and resume the completion process by using one of the options above to bring the Work Order Completion window back up.

Actual Hours

Split Equally (Button)

The Resource Completion window displays, prompting the user for resource completion information. The information the user enters will be applied across all Asset/Procedure line items by dividing the hours entered by the total number of Asset/Procedure line items. When this window is closed, the user is returned to the Work Order Completion window.

Remaining Hours

 

Split Prorated (Button)

The Resource Completion window displays, prompting the user for resource completion information. The data the user enters will be applied across all Asset/Procedure line items by prorating the entered resource based on the percentage of estimated resource on each Asset/Procedure line item. When this window is closed, the user is returned to the Work Order Completion window.

 

Use Remaining (Check box)

Indicates that during the completion process, all remaining resource hours are applied to the work order as actuals, for the date/time the completion is taking place.

If this is checked, the user is prompted with a popup message that some hours will not have any cost (because it is unknown who worked the job). The user has the option to cancel the change, and if so, to un-check the box. This check box is disabled if the remaining hours equals zero.

Parts Section

Estimated Quantity

Details (Button)

If pressed, the window disappears and is replaced with the Asset/Procedure tab, Parts Lower tab with the first asset in the grid highlighted. Allows the user to enter details for parts.

Actual Quantity

Use Remaining (Check box)

Indicates that during the completion process, all remaining parts are applied to the work order as actuals, for the date/time the completion is taking place. This check box is disabled if the Remaining Part Quantity is 0.

Remaining Quantity

 

The sum of all quantities for all parts across all Asset/Procedure line items. This allows the user to quickly see if they have issued all that was expected, or have some remaining.

Misc. Cost

If pressed, the window disappears and is replaced with the Asset/Procedure tab, Misc. Costs Lower tab, with the first Asset/Procedure in the grid highlighted. This allows the user to enter details for Misc. Costs.

Actual Cost

Use Remaining (Check box)

Indicates that during the completion process, all remaining Misc. Costs are applied to the work order as actuals, for the date/time the completion is taking place. This check box is disabled if the Remaining Misc. Cost is 0.

Remaining Cost

 

The sum of all Misc. Costs across all Asset/Procedure line items.

 

Completion Information

Meter or Primary WOAP Meter

This field will be labeled Meter or Primary WOAP Meter.  If there is only one Asset listed on the work order, the label will simply read Meter. Enter the meter value at the time the work was performed against this Asset. If the label reads Primary WOAP Meter, there are multiple Assets listed on the work order and this value will be posted against the Asset Procedure combination marked as Primary. You may find it necessary to go into the Meter sub tab to update the Meter value for all other existing WOAP combinations before completion of the work order. If no meters exist, this field will be disabled.

Date Started

If blank, this field will be set to the Date Scheduled but may be edited.

Date Completed

Enter the date the work order was completed.
