Details Tab

The Details tab is used to display the same fields from the original Work Request form, so that you may verify and edit the information. Anything changed and saved on the Details tab will be reflected as the original request and copied over to the Process tab. It is possible for an end user to enter a Work Request (Web Work Request) and not enter valid information, such as an Asset ID, or Asset Location ID. This invalid information will default onto the Details tab, and it must be corrected and validated in iMaint before it will be carried over to the Process tab.   Changes made here will be saved as part of the original request, and passed to the Process tab.

 

You will receive a message to fix the invalid data, and if not fixed, those fields are left blank on the Process tab.

 

Some fields on this form can be edited for both the work request and the future work order. Fields that are not marked as 'read-only' can be changed and saved as part of the original work requests. This allows the reviewer to correct invalid information and add additional information.

Request Details contains the following fields.

Field

Description

Work Request ID

The ID of the work request that is currently displayed will be located above the tabs.

Problem

The first 255 characters of the email subject (if any), the first 255 characters of the email body, the text you entered or it is blank. Eventually, it becomes the description on a work order. Changes are not stored for the request - it only effects the created work order. This field is read-only.

Problem Type

The name of the requester. It comes from either the email body or the 'reply to' name of the email. The Requested By Name field is alphanumeric and up to 40 characters long.

Requested By

The User ID, logged into iMaint when the request is created, will default but you may change the name of the person making the request if necessary.

Requester Phone

The requester's phone number (and optional extension). It is an alphanumeric field up to 30 characters in length.

Problem Level

This field transfers to the work order. The numeric field is only one character in length and is represented with a 1, 2, or 3. 1 = Safety Hazard, 2 = Impacts Production/Facility Operation or 3 = Routine Request. You can enter new text directly into this field or you can use the Standard Lookup icon to search for a Problem Level already existing in the iMaint system.

Emergency

A checkbox indicating if a work request is an emergency. This field is read-only.

Date Needed

Date the requester entered as the suggested need date. Although only requesters are authorized to add a new date, the reviewer may change this and optionally add a time. It transfers to the work order as the date needed, unless over-ridden by the request reviewer. This field is read-only.

Asset ID

A unique identifier for the asset to be worked on. When converting a work request to a work order, if the asset is not valid then an error will occur. This is a read-only field which transfers to the work order. Asset ID is an alphanumeric field up to 40 characters in length.

Asset Description - Description of the asset to be worked on. This field can contain letters and numbers (alphanumeric) up to 255 characters.

Location ID

The Asset Location ID of the asset or general location where the work needs to be performed. When moving to a work order if the location is not valid then an error will occur. This is a read-only field which transfers to the work order. It does not always need to match the asset's location. Location ID is an alphanumeric field up to 25 characters in length. Copied to any work order created from this request as the Work Order Comment.

Location Description - Description of the location of the asset or general location where the work needs to be performed. This field can contain letters or numbers (alphanumeric) up to 255 characters.

Building ID

Use the lookup button to select the correct Building ID.

Status

he Status of the request. It gets updated as the request gets processed. Valid Status are 'Outstanding Request' (no action taken on it yet), 'Work Order Created', 'Work Order Duplicate' and 'Not Approved'. This field is read-only.

Reply Email Address

The reply address provided in the email message, and if not present, by the email server based on the email header information. For Web page requests this may be the email address of the Web server, not the email address of the user who entered the information into the Web server. It is an alphanumeric field, up to 100 characters in length.

Notify

Select the desired level of notification. At each stage selected the system will send an email notification to the above email address.

Send Date

The send date (and optional time) of the email message included in the message body or the date/time the row was added to this table. This field is read-only.

Processed Date

The date and time the row was converted to a work order or was not approved. If blank, the request is still active and awaiting processing. This field is read-only.

User ID

This field will display the User ID of the person who made the request.

Work Order ID

When the Request is processed into a work order, the Work Order ID will display within this field.

Comments

Any additional comments about the original request may be entered here, and saved with the original request record.  They will be carried over to the work order.

Attachment ID

A unique identifier for a file (sound wave, document, spreadsheet, bitmap, efax, HTML page, etc.) which is any attachment that can be associated with and executed from the Parts Form. Users can enter an Attachment ID directly into this field or click the Standard Lookup icon to search for an Attachment ID (file) already existing in the iMaint system. This field accepts letters or numbers (alphanumeric) with a limit of 255 characters.

Attachment Description

Description of the specific attachment the Attachment ID references. Users can enter an Attachment Description directly into this field or click the Standard Lookup icon to search for an Attachment Description already existing in the iMaint system. This field accepts letters or numbers (alphanumeric) with a limit of 255 characters.

Thumbnail

Check this box to allow a small graphic to display as the thumbnail on the ribbon bar.  There may only be one thumbnail selected at a time.
