iMaint for Fuel Tracking
Defining Units
A company must define, within iMaint, any item they use to add value to the end product or service sold to customers. These items can be any kind of machinery, buildings or fleets. The manufacturing term iMaint uses to describe these items is ”assets”. When working with the Fleet industry iMaint uses the term ”units”. Fleet users will define each unit in the Unit table, just as manufacturing would enter assets in the Asset table. Create Unit records using the Unit types allow you to group units with similar characteristics. A unit type could represent the make, model or purpose of the vehicle. iMaint allows you to define the cost of fuel per distance and the maximum distance traveled between fueling when you create each unit type. It also allows you to define a high and low range of fuel used per distance.
Defining Fluids
The Fuel Master can be used to add, edit or delete fluid records in the Inventory module. When searching for fluids using this form only inventory records marked as fluids will display. This form uses the Class ID on the inventory records to filter out non-fluid records. You may only choose a Class ID that represents fluids when using the Fuel Master to enter inventory records.
Note: Labels with red text denote required fields. You must enter information in these fields.

Station ID |
This is the warehouse where the fuel/fluid is stored. Use the look up function to select the appropriate station ID. |
Fuel ID |
Enter a unique ID to represent the fuel/fluid. |
Fuel Description |
Use up to 255 characters to describe the fuel or fluid stored in inventory. |
Tank ID |
A unique ID to represent the location within the warehouse where the fuel/fluid is stored. This will be the primary location for this fuel/fluid. Use the look up function to select the appropriate ID. |
Status ID |
This field will default a value of "Active" when entering a record. Use the look up function to select the appropriate status. |
Class ID |
This must be a part class record that has the check box marked to represent if is a fluid. |
Quantity On Hand |
The total amount available for use. |
Issue UOM |
The unit of measure in which the fluid or fuel will be issued to a work order. |
Purchase UOM |
The unit of measure in which the fluid or fuel was purchased. |
Conversion Factor |
The numeric value used to calculate the difference between the Purchasing UOM and the Issue UOM. |
Unit Cost |
The dollar amount associated with one unit of measure of the fluid or fuel. |
Supplier ID |
The unique ID that represents the Supplier within iMaint. Use the look up function to select the appropriate ID. |
Supplier Part Number |
The number used by the Supplier to represent and track the fuel/fluid. |
Manufacturer ID |
The unique ID that represents the Manufacturer within iMaint. Use the look up function to select the appropriate ID. |
Manufacture Part Number |
The number used by the Manufacturer to represent and track the fuel/fluid. |
General Ledger |
The General Ledger number used to post cost transaction associated with the fuel/fluid. Use the look up function to select the appropriate General Ledger account number. |

Use up to 255 characters to enter comments regarding the specific fuel/fluid. |
