Issue Adjustment
Inventory Adjustment windows are designed to handle quick data entry for the type of adjustment being performed. Fields can default with information from the Part Search window (if called from the window while a line item is highlighted in the grid). Issue Adjustments are used when a part is being issued out for a job. If you are issuing to a work order with multiple Asset Procedure combinations, make sure to fill out the Work Order ID, Asset ID and Procedure ID to be sure iMaint knows exactly which part record on a work order to update. If iMaint can't tell which line on a work order to update, you may cause problems with committed and quantities available in inventory.
Note: Labels with red text denote required fields. You must enter information in these fields.

Part ID |
A unique identifier for the part being adjusted. You can enter new text directly into this field or you can use the Standard Lookup icon to search for an existing entry in the iMaint system. |
Serial Number |
The part's serial number. You can enter new text directly into this field or you can use the Standard Lookup icon to search for an existing entry in the iMaint system. This field is required if the part is a component. |
Warehouse |
A unique identifier for the warehouse where a part is located. You can enter new text directly into this field or you can use the Standard Lookup icon to search for an existing entry in the iMaint system. This field defaults to the user's Primary Warehouse. |
Location |
The location of the part being adjusted. This field defaults to the part's primary location. |
Sub Location 1 |
If the Site indicator for using Sub Locations is enabled, 3 sub Locations fields will display and you may enter a valid Warehouse/Location and Sub Location combination. This field will default to Primary location but can be changed or left blank. |
Sub Location 2 |
If the Site indicator for using Sub Locations is enabled, 3 sub Locations fields will display and you may enter a valid Warehouse/Location and Sub Location combination. This field will default to Primary location but can be changed or left blank. |
Sub Location 3 |
If the Site indicator for using Sub Locations is enabled, 3 sub Locations fields will display and you may enter a valid Warehouse/Location and Sub Location combination. This field will default to Primary location but can be changed or left blank. |
Issue Quantity |
The quantity of the part which will be issued. For a component part, this is always '1'. |
Quantity On Hand |
Displays the current quantity on hand within the warehouse and location selected during the adjustment. |
Unit Cost |
The unit cost the part at the time of issue. This field defaults to the part's current unit cost. If the part is a component, then the serial number's unit cost is displayed here. This field does not accept negative numbers. |
Work Order ID |
A unique identifier for the work order to which a part is issued. If a work order doesn't allow inventory changes, an error message will be displayed to the user. You may issue a piece of inventory to a Work Order or a Resource ID but not to both. If you enter a Work Order ID, you cannot enter a Resource ID below. Issue inventory to a Work Order ID when you wish to reflect that is will be used against the specific Work Order. If your work order has multiple Asset and Procedures, make sure to add those fields below as well. |
Asset ID |
A unique identifier for the asset to which a part should be issued. This field is required if the part is being issued to a work order which has more than one asset. |
Procedure ID |
A unique identifier for the procedure to which a part should be issued. This field is required if the part is being issued to a work order which had more than one procedure. |
Project ID |
A unique identifier for the project to which a part should be issued. This field defaults to the Work Order Project ID and is read-only if a work order is specified. |
GL Account ID |
A unique identifier for the General Ledger Account associated with the part. This field defaults to the part's primary GL Account ID or, if not specified, the site GL Account ID. You can enter new text directly into this field or you can use the Standard Lookup icon to search for an existing entry in the iMaint system. This field defaults to either Parts Primary GL or the default GL for the Site. |
Code Type ID |
A unique identifier for the code type applied to this transaction. |
Code ID |
You may apply a code to issue adjustments by using the lookup button or keying in a valid Code ID. The value will be applied to the issue transaction. |
Resource ID |
You may issue a part to either a Resource ID or a Work Order ID, but you may not issue to both. Issue a part directly to a Resource ID when you want to reflect this piece of inventory was issued to a person, not a specific work order. |
Adjustment Date |
The date (and optional time) the transaction should be posted. The default for this field is the current system date and time, and is reset to the current date and time after every transaction is performed. Users can enter past dates but future dates are not accepted. |
Comments |
Any additional information related to the part being adjusted. |
When you enter a Warehouse and Part ID, the button Order Data will be enabled for use. The Order Data button will display information from the Part Master record.
