Email Templates
The notifications templates for Purchase Order Approvals, Purchase Requests, Work Request Notifications, Work Request Authorization and the Work Order Information notification e-mails are accessed through the Admin module. Under the Admin module, a form, called Request E-mail Templates allows you to modify each of these five templates for the Site you are logged into. You must have the appropriate security permissions to access this form, such as iSecurity or iSysAdmin. You may not copy or add a new template, but simply follow the instructions within each template to edit the text included within the Purchase, Work Request and Work Order notifications.
Please, read the templates carefully. Text lines preceded with // are not part of the e-mail text, but include instructions and field place holders that may be used within the notifications. You simply need to scroll down to the appropriate area within the Template box and edit the text inside the corresponding area, for example the subject line or body of the e-mails.
An example of an area where you may change the text would include:
- Any text between the <subject> <subject> will be included the e-mail subject line. Note, the subject line can only be one line of text.
- Any text between the <body> <body> will be included in the body of the e-mail. The body of the email may include multiple lines of text.
- If @wo_id@ is inserted inside the body of the e-mail, this represents the placeholder where the appropriate Work Order ID will be inserted into the e-mail.
Once you have finished editing the template, click on Save. Use the Reset Default Template option on the ribbon bar to set any of the templates back to iMaint factory defaults.
