User Management
The Security window allows the System Administrator to create, manage and delete iMaint users. Along with simply defining the existence of users and their related security profiles, the System Administrator can also manage additional information for each user.
iMaint Users List
The iMaint users list displays users currently registered in the iMaint system. When a user is selected in the list, their User Name and Password are displayed on the Account Information tab to the right. Use the standard Filter or the Find ID field to search for users by ID.
Field |
Description |
User ID |
User ID given to the profile when you add the new user on the Account Information tab. This information will default into the iMaint Users List once the user has been created. Highlight these individual records if you wish to add or edit this users Profile information. |
Site Profile |
If this column has a check mark, this user has a profile for the site the Security Admin is currently logged into. |
Default Site |
This will be the user's default site. The user may have a profile in multiple sites. |
Account Information
Account information allows the Security Administrator or System Administrator to add new users to the iMaint system or edit existing user information.
When creating new user accounts, if you have Windows Integrated Authentication turned on within the Server Administration Tool, this will also be where enter Windows credentials for the specific users. If on, the Admin would check a box to indicate this account will log into iMaint using the Windows Integrated Authentication. They will then need to supply the domain/user ID to the network.
This information is hidden when the option is turned off within the Server Administration Tool. For more detailed information see the section Windows Integrated Authentication.
Note: Labels with red text denote required fields. You must enter information in these fields.
Field |
Description |
User ID |
In order for users to access iMaint, they are required to enter a valid user name. This field allows the Security or System Administrator to add a new (or modify an existing) user to the system. |
Password |
This field allows the Security or System Administrator to create or change the password for the user specified in the User Name field. A password is strongly suggested but not required. The System Administrator can change any user's password at any time. Users may change their own password at any time within the iMaint system. |
Confirm Password |
New user passwords must be entered twice for verification. |
Copy Profile From Default Site |
When creating or duplicating a user, if this box is checked, the system will allow the Admin to select a User Profile to copy all the User Profile and User Profile Work Flow tab settings. These settings also include the Status Flow settings. Before copying a profile to another site, make sure it is set up as desired or you will need to go into the new site profile and edit the settings again. |
Use Default Site Profile |
When creating a new user, this check box will use the default User Profile settings. The Default Site Profile is isysadmin. The settings defined on the User Profile and User Profile Work Flow tabs on the iSysadmin profile record will be used as the defaults when this box is check. |
Site Transfer
The Site Transfer sub tab allows you to copy a selected User ID from one site to another. Simply, highlight a User ID, select an alternate Site in the Copy To Site box and click on the Transfer button.
Modify/Delete
You may remove a User ID from one or all sites. Using the Modify/Delete sub tab, highlight the appropriate User ID in the iMaint List. Choose to Remove Site Login, which will remove the User ID from the users listed under the current site you are logged into, or select Remove Corporation Login to remove the User ID in every list of users under all sites.
This tab does not delete the User Profile information. The Profile will be locked out of iMaint and deactivated from either the selected site or the whole corporation. If you try to add a User Profile that has existed in the system before, you will be prompted with a message to either use the existing User Profile or create a new unique ID. If you choose to use an existing profile for the user, make sure to go back and check the User Profile for information that has been reset, such as the Purchase Order Authorization and Limit.
Once you have a user ID created, click here to fill out the User Profile information.
